  • Amenities/Clubhouse Supervisor

    Storm Meadows Amenities/Clubhouse Supervisor  

    This position is perfect for a hospitality professional who seeks a Full-Time, Year-Round position with benefits. This job offers low stress and a scenic slope-side work environment.  

    The Amenities/Clubhouse Supervisor will work closely with & report directly to the General Manager of Storm Meadows, Michelle Koci. You will have support as necessary from the entire team at Storm Meadows, inclusive of a full-scale Hospitality Housekeeping Department and Maintenance Department.  

      

    Job Details:  

    Oversee a small staff (2-3 staff members) to work independently.   

    Hires, trains, mentors & schedules to ensure the desk is staffed 7-days/week.  

    Maintains cleanliness of Amenities Building, including: gym equipment, pool deck, and locker rooms.   

    Monitors pool/hot tub Chemicals & Cleanliness.  

    CPO Certified or willingness to obtain certification, we will provide CPO, Certified Pool Operator, Training at our expense.  

    During Off-Season (spring/fall) focus of this position shifts to maintaining & repairing building. Minor repairs (leaky faucets / toilets), planting & weeding landscaping, painting touch-ups, deep clean pool, etc.   

    Complete Moderate/Minor Painting Projects as needed in spring/summer  

    Check member credentials for access.   

    Provide rule & regulation enforcement.  

    Launder Towels.  

    Order Supplies.  

    Other administrative tasks as required to support the overall HOA operations at   

    Storm Meadows.  

      

    Requirements:  

    · Friendly Attitude

    · Basic Fix-It / Maintenance Skills (can train on this), basic plumbing (leaky faucet repairs & such).   

    · Willingness to do landscaping & Painting tasks in off-season when facility is closed.

    · Ability to lift safely up to 25 pounds, stoop, kneel, crawl & reach overhead.

    JOB DESCRIPTION:  

    Summary: Coordinates & staffs amenities/clubhouse facility activities of Storm Meadows Home Owner’s Association, in order to provide a peaceful & relaxing experience to all members visiting the pool/hot tub & amenities building.   

      

    Resolves problems arising from guests' complaints, unusual requests or inquiries, general cleaning tasks & rule enforcement by performing the following duties personally or through staff:  

      

    Essential Duties and Responsibilities include the following. Other duties may be assigned.   

    · Ensures desk is staffed at all times with one staff member during operating times (7 days per week).   

    · Greets all amenity building members & guests in a friendly and prompt manner.  

    · Maintains amenities at the facility to include but not limited to:   

    · Checking & Testing pool and hot tub chemicals and cleanliness hourly.  

    · Gym Equipment kept clean and in working order.  

    · General facility cleanliness & organization.  

    · Ordering and maintaining proper quantities of supplies.  

    · Laundering the pool towels.   

    · Communicates effectively (possess good speaking and writing skills).  

    · Confers and cooperates with other department heads to ensure coordination of member/guest services and personally fulfills required task(s) if the need arises.   

    · Work independently frequently.  

    · Hires quality employees to primarily work independently staffing the building / desk.

    · Develops and implements training procedures to assure development and retention of a quality work force, and to ensure health and safety protocols are followed by all staff. This includes initial training and orientation for new staff, as well as ongoing training for experienced staff.

    Essential Duties and Responsibilities include the following. Other duties may be assigned.

    Works with and reports to the Director of Housekeeping, with close collaboration with individual housekeeping property managers as responsibilities overlap for specific property assignments.

    Participates actively in planning, assigning, and directing work; assisting with workloads (actual common area cleaning), appraising performance; addressing complaints and resolving problems. Assures adherence to management company policies and established operating and safety procedures.

    Participates in creating and continuously monitors the time-study data to provide accurate actual time/hours required for cleaning tasks by property.

    Communicates with housekeeping property managers and front desk staff of potential problems that might arise or affects guest or owner satisfaction or safety.

    Enters work orders and actual time study data into the software program, V12. Works with the accounting department to achieve accurate revenue billing for work performed.

    Adheres to company policies and follows all safety regulations.

    Re-schedules or re-adjusts team workload between team members, as necessary.

    Assists with the training and development of the Common Area Attendants.

    Monitors the inventory of cleaning chemicals, supplies and other tools required for the completion of the cleaning tasks. Ensures proper working order of cleaning equipment (vacuum maintenance, clean mop heads etc.)

    Ensures each Common Area Attendant’s daily schedule will be met, and assists with actual cleaning to meet needs of accomplishing thorough cleaning at each property.

    Reports work orders for all common areas. Creates work order in V12 and calls in urgent requests to the Maintenance Supervisors.

    Maintains a secure key control system to ensure the safety of the buildings, the occupants, and our guest or owners property.

    Establishes or adjusts work procedures to meet production schedules, while never sacrificing safety.

    Maintains accurate timesheets and production records for pay and billing information.

    Performs on a regular basis common area cleaning and supervision of common area cleaning. This includes: vacuuming, sweeping, mopping, cleaning bathrooms, hauling trash, washing windows, polishing chrome / signs / elevators.

    Ensures team responds to guest and/or owner requests professionally.

    Greets guests and owners when met on-property.

    Must maintain a satisfactory driving record and valid driver license in order to comply with our insurance requirements of non-livery drivers.

    Drives to and from properties in a safe and lawful manner. Always being mindful of safety and adherence to the rules of the road.

    Summary: Manages resort nightly rental inventory of units for clients and handle administrative duties of assigned Homeowner Associations by performing the following duties personally or through subordinate supervisors.

    Essential Duties and Responsibilities include the following. Other duties may be assigned.

    Visits units and Homeowner Associations as needed to insure that the properties are in acceptable condition, report any issues to maintenance manager as well as suggest improvements to supervisor.

    Recruit new owners into the nightly rental program.

    Provide realtors with rental information pertinent to the selling of condos managed by Company.

    Meet with potential condominium buyers to educate them regarding the services of Company.

    Communicate with the maintenance department regarding the status of a repair and keep the owner informed throughout the process.

    Monitors and communicates with other in-house staff regarding owner stay arrivals to coordinate inspection prior to arrival. Weekly distribution of owner arrival maintenance and housekeeping notes to various departments.

    Educate rental owners regarding reservations, monthly billings, and issues within the local rental market.

    Arrange utility services for rental owners if applicable.

    Personally check owner units prior to an owner arrival.

    Educate owners about the advantages of upgrading and assist interested owners in that process by exploring bids, contacting vendors, inspecting work, etc.

    Monitor and stay informed regarding the operations and current issues of the associations you represent.

    Continuously pursue proactive ways to keep owners informed and aware of matters pertaining to their investment.

    Arrange for special services and equipment if required.

    Reviews monthly owner’s statements, validates postings against owners account, and coordinates with accounting for accuracy.

    Review of property work orders bi-monthly for accuracy and variances that may need adjustment.

    Review and coding of all owner related invoices to general ledger accounts.

    Report and monitor to completion repairs in individual units. Communicate with the maintenance department regarding the status of a repair and keep the owner informed throughout the process.

    Educate owners on how to access declarations, articles of incorporation, by-laws, and rules and regulations of their particular property.

    Discusses with client terms and conditions for providing management services, and drafts agreement stipulating extent and scope of management responsibilities, services to be performed, and costs for services.

    Occasionally direct written and telephonic communication with Association Boards of Directors.

    Works to ensure that the services provided to our homeowners by all departments meet our first class standards.

    Familiar with and communicates homeowner association information to individual homeowners.

    Record and report communication with individual homeowners related to HOA issues or violations.

    Communicate with the maintenance and housekeeping department regarding the status of a repair or service and keep the owner and internal company departments informed about any related issues throughout the process.

    Perform occasional site visits to managed properties.

    Help prepare information for meetings, participate in homeowner association meeting discussions when appropriate.

    Monitor and stay informed regarding the operations and current issues of the associations you represent.

    Summary: Applies principles of accounting and follows procedures and processes to enter financial data, AR, AP and completes monthly financial processes to support the overall success of the accounting division by performing the following duties:

    Essential Duties and Responsibilities may include the following; other duties may be assigned.

    Maintains a portfolio of associations including AP, AR, journal entries, and financial statement reconciliation. Prepare budget shells and enter budget information into system.

    Prepare estoppels for real estate transaction. Maintain ownership information including setting up new owner, inactivating old owners, processing new owner accounts for special assessments.

    Prepares and mails monthly/quarterly owner statements. Works with manager for monthly collection letters as necessary.

    Assist with training accounting clerks and other staff as assigned.

    Processes checks by entering information daily into accounting system, balances entries and ensures proper bank deposits are completed.

    Processes timesheets, invoices, owner bills, and other AR and AP transactions by following departmental processes and procedures to ensure authorization, coding, and recording of such transactions are completed timely in order to support other essential accounting functions.

    Assists in both internal and external inquiries into invoice payments, receivables, expenditures, and other accounting transactions.

    Updates monthly and quarterly recurring charges and other accounting controls in the system when directed to do so by Accountants, Controllers, Director of Accounting, HOA Manager, or direct supervisor.

    Reconcile bank statements as assigned.

    Filing of all paid invoices, deposits, journal entries, bank statements, and annual upkeep of all files for all assigned associations or companies.

    Assists with related special projects, as required.

    Back up all accounting clerk duties as needed for time off or heavy volume.
