    Summary:  Oversees the SMAG facility on a daily basis.  Supervises and coordinates activities of workers engaged in maintaining and repairing physical structures of buildings and grounds by performing the following duties.

     

    Essential Duties and Responsibilities include the following. Other duties may be assigned.

     

    Responsibilities of the SMAG Manager:

    1. Supervise the daily operation of pool, hot tub, and work-out facilities.

    2. Ensure that equipment, pool, hot tub, other amenities, and common areas are kept in first class condition at all times.

    3. Ensure public areas are fully operational and kept safe and hazard-free for guests, employees, and owners at all times.
    4. Anticipate, report in advance to the board of directors for consideration, and schedule completion of approved capital projects.
    5. Status reports and other communication surrounding the progress of any capital or repair project shall be provided to the SMAG board and general manager of Storm Meadows in a timely manner.
    6. Control access to the facility for members and guests only.
    7. Coordinate maintenance and repair functions to the facility around high occupancy periods to minimize any impact to guests and owners.
    8. Assist in the preparation of an annual report on the condition of the facility and attend the annual SMAG owners meeting to provide the report and answer related questions.
    9. Implement any changes as directed by the SMAG board of directors regarding massage quarters, concierge duties, towel stock, laundry procedures, etc.
    10. Supervise staff to assist you in these functions within the financial parameters of the annual SMAG budget as described in the attached schedule.
    1. Daily supervision of larger projects including performing any inspection fieldwork necessary to complete and coordinating with maintenance managers when help is needed with capital projects. 
    2. Consolidate similar projects that will require outside labor in an effort to minimize these costs.  Supervise and follow up on any outside contractor work performed in our managed units including the submitting of their final invoices in a timely manner.
    3. Develop and maintain beneficial relationships with local vendors and contractors to facilitate quick response and favorable pricing.
    4. Implement and maintain a system to alert Owners to projects as they arise. Provide updates until completion.
    5. Establish or adjust work procedures to meet production schedules, while never sacrificing safety.
    6. Take property inspection on a regular basis to assure quality of work being completed.
    7. Inspect completed work for conformance to reasonable specifications and standards and hold vendors accountable to address any deficiencies.
    8. Interpret company policies to workers, monitor and enforce safety regulations.
    9. Responsible for hiring as necessary to operate facility.   Hiring and firing functions of staff as well as scheduling. Working with HR to accomplish such tasks.
    10. Maintain a pleasant and efficient working atmosphere with all staff members through open lines of communication.
    11. Current hours of operation for the facility will be 8:00a.m. until 9:00p.m. during winter season, 8:00a.m. until 8:00pm in the summer season, and 8:00a.m. until 6:00p.m. in the spring and fall when the facility is open. Hours are subject to change.

    Summary:  The General Manager is located on-site to oversee the daily operations, the rental operations and assist with the association management functions for commercial, resort, or residential homeowner association properties.

    Essential Duties and Responsibilities include the following.  Other duties may be assigned.  

    Hires quality employees, trains, and actively participates in planning, assigning, and directing work; appraising performance; addressing complaints and resolving problems.  Assures adherence to management company policies and established operating and safety procedures.

    Responsible for the day to day operations of the guest service, housekeeping, and maintenance departments as it relates to the rental operations of the company and adheres to the service standards set by the President or Vice President of the company.

    Oversees the setup, management, organization, staff hiring, training, and scheduling of operations staff. Assist with initial training and orientation for new staff, as well as ongoing training.

    Oversee process and procedures to ensure the safety of employees, homeowners, and guests on or around company’s properties. 

    Continuously pursues proactive ways to keep the President or Vice President of The Company informed and aware of matters pertaining to staff, owners, guests, and the property.

    Maintains regular office hours on-site to provide oversight of staff, troubleshoot guest service issues, and to enable proper owner service and communications. 

    Ensures that all common areas are in acceptable condition, directs cleaning or repairs necessary with housekeeping or maintenance staff, suggests improvements to Board for future capital reserve projects to be presented at association board meetings.

    Provides support to the maintenance department with project management for upkeep maintenance, alterations, and capital improvement projects: arranges necessary contractors, monitors and reports on progress, addresses problems in quality or safety, inspects project for final release, coordinates with appropriate departments.

    Provides support to the housekeeping department for company budgets – inventory, supply ordering, linen ordering, & labor; HOA common area cleaning budgeting, owner arrival inspections, and guest arrival inspections.

    Employs, or contracts for services of, security, maintenance, and grounds keeping personnel and onsite caretaking personnel if required.

    Adheres to company requirements related to posting of invoices, work orders, and other payment related items to ensure prompt and accurate billing.

    Under the direction of the President or Vice President of company, completes the following accounting functions: preparation of budgets, validating postings against budgetary line items, and financial statement preparation, including personal review of all work orders for accuracy and variances that may need adjustment. 

    Responsible for the housekeeping maintenance and guest services / front desk budget in conjunction with the heads of each department as it relates to the needs of the business.

    Review the coding of all operations related invoices to general ledger accounts.

    Report and monitor completion of repairs in individual units.  Communicate with the maintenance department regarding the status of a repair and keep the owner and reservations team (if applicable) informed throughout the process.

    Preparation and execution of Association meetings as directed by the President or Vice President of The Company.

    Maintains consistent communication and relations with the board Presidents and other members of the board.

    Assist in updating and maintaining association records and websites regarding, reports, minutes, declarations, articles of incorporation, by-laws, and rules and regulations. 

    Educate owners about insurance requirements, the declarations, articles of incorporation, by-laws, and rules and regulations of their particular property.

    Enforcement of Rules & Regulations

    Monitor and stay informed regarding the operations and current issues of the associations.

    Under the direction of the President or Vice President of the company, assists in pursuing proactive ways to keep associations informed and aware of matters pertaining to their investment. 

    Works to ensure that the services provided meet our first-class standards.  

    Initiates and maintains routine communication with homeowners and rental program partners.

    Assists in both internal and external inquiries into invoice payments, receivables, expenditures, and other accounting transactions.

     

    Updates monthly and quarterly recurring charges and other accounting controls in the system when directed to do so by Accountants, Controllers, Director of Accounting, HOA Manager, or direct supervisor.

     

    Reconcile bank statements as assigned.

     

    Filing of all paid invoices, deposits, journal entries, bank statements, and annual upkeep of all files for all assigned associations or companies.

     

    Assist remote staff with various in office tasks including scanning items for their review, printing checks, printing and folding mail.

     

    Assists with related special projects, as required.

     

    Back up all accounting clerk duties as needed for time off or heavy volume.

     

    Other duties as assigned.

    To perform this job successfully, an individual will have an intermediate knowledge of Microsoft Office software including Excel, Outlook and Word, with at least one year of experience using programs.  VMS and PDF software experience is helpful.

    A swimming pool technician should make sure that the water is clean and safe for guests at designated hours. He/she should service and maintain swimming pools, spas and hot tubs on the premises.

    The technician would also install and service water cleaning, filtering and purification equipment which is used for maintaining the pools. Additionally, the pool technician maintains the pool area in a clean, orderly fashion while assuring all pool safety rules and regulations are in place.

    All aspects of the pool area should be maintained including but not limited to: bodies of water, pool furniture, weeds, pool area access gates, pool structures, mechanical rooms, and patio / deck areas.

    Swimming Pool Technician Duties and Responsibilities:

    · Diagnoses, repairs and maintains swimming pools, water spas, filter systems, and pumps.

    · Maintains the proper chemical balance for every pool.

    · Maintains the pH and chlorine values for good water quality.

    · Maintains the pools, spas, and in-unit spas using proper chemicals and cleaners.

    · Maintains the pool areas including cleaning of the deck, and organizing patio furniture.

    · Responds to swimming pool related work orders in a timely, friendly and efficient manner to assess and repair non-functioning machinery or equipment.

    · Repairs and maintains electrical and mechanical equipment.

    · Transports and stores hazardous chemicals. Following OSHA guidelines and utilizing appropriate Personal Protective Equipment.

    · Carries out scheduled water cleaning, using chemicals like chlorine.

    · Maintains manual records of all activities and prepares daily / weekly / monthly reports.

    · Picks up trash around common pool area and unit patios.

    · Operates and inspects tools and equipment and makes minor adjustments and repairs.

    · Cleans and services swimming pool filtration units.

    · Services heating, circulation and de-humidifier systems.

    · Fixes lights above and below water level.

    · Uses swimming pool vacuum cleaners to clean the pool floor.

    · Checks and repairs corrosion, cracks and leaks in the pool walls or floors.

    · Uses a telescopic pole with net to clean and remove any leaves, or debris.

    · Makes sure equipment like pool covers, hot tub covers, and slides are in good working order.

    · Cleans all vents in pool areas regularly.

    · Logs, reports, and communicates in a timely manner equipment faults or water quality problems to managers.

    · Organizes pool furniture every morning according to the established layout for common area pool and private patios.

    · Removes grass and/or other weeds from unit patios around hot tubs

    Prerequisites:

    Must be efficient, organized, personable, poised and well groomed. Must have experience in pool, and spa chemical use, chemical level testing, pump, equipment maintenance, pool plumbing and all other related items.

    Education:

    High School or Diploma holder. CPO certified a plus, but will train the right person.

    Experience:

    1 to 2 Years work experience on similar role or ability to perform scope of work on hospitality environment.
