Assistant General Manager Responsibilities:

  • Act as manager-on-duty when GM is off-duty
  • Help train all camp staff in customer service and camp policies
  • Adapt to change and ensure the guest experience no matter the circumstances
  • Act a leader and mentor to camp staff

Front Desk and Night Audit General Responsibilities:

  • Greet & check in/out guests

  • Answer guest inquiries & assist guests make activity bookings

  • Escort Guests to tents

Maintenance and Labor General Responsibilities:

  • Do minor repair work and maintain all equipment
  • General maintenance skills and knowledge a must
  • Supply firewood to guests and start stove fires
  • Other duties as assigned

Housekeeping General Responsibilities:

  • Clean guest tents and bathrooms
  • Change bedding
  • Restock guest room supplies
  • SUPERVISOR: manage schedules, prep, department goals, ensure best service practices

Kitchen Staff General Responsibilities

  • COOK: fast casual cooking/prepping in a food truck inspired outdoor concept restaurant
  • LEAD COOK:

  • CHEF MANAGER: manage schedules, prep, catering as needed, ensure best service practices, cook

Guest Experience Coordinator Responsibilities

  • Manage VIP schedules
  • Help coordinate and produce weddings, anniversaries, birthdays, group bookings, etc
  • Make the guest experience memorable

HR Coordinator Responsibilities

  • assist with recruiting, hiring, onboarding, and welcoming staff

    General description of purpose:  Preparation of all food for multiple meals and events.  Cook all food according to standard practices set by the Kitchen Supervisor and government regulations.  Be an integral part of the kitchen staff to maintain guest satisfaction, consistency, and brand quality.

    Employee’s responsibilities shall include, but are not limited to:

    • Cleanliness - Make sure all kitchen equipment is clean at the beginning and end of each shift.  When able, assist coworkers in keeping the dining area clean.
    • Teamwork - Be willing and able to help in any other kitchen capacity including taking orders, expediting food, serving food, washing dishes.  Communicate with all kitchen staff.
    • Inventory - Keep track of all ingredients needed.  Letting the supervisor know on a regular basis for purchase orders.

    Knowledge, Skills, and Abilities Required:

    • Follow all safety policies
    • Follow all food handler laws and recommendations regarding proper food storage, labeling, and equipment handling
    • Ability to prep food in a timely manner
    • Know how to use a grill, fryer, blender, and any other typical kitchen appliances

    General descriptions of purpose:

    • Welcome all customers and be attentive when taking their order
    • Follow all policies and procedures set in place by Under Canvas and government when serving alcohol
    • Teamwork: Communicate with other host/hostess, cooks, and Kitchen Supervisor about any issues that arise.  Assist all kitchen staff in accomplishing daily tasks.
    • Problem Solving: Problem-solving when menu items are sold out or when guests are unhappy and knowing when to involve a supervisor.
    • Cleanliness:  Keep dining area clean, bus tables, pick up and take out trash.  Assist in the kitchen by keeping equipment cleaned, and washing dishes.

    Knowledge, Skills, and Abilities Required:

    • Must be able to walk, stand, kneel/bend throughout the whole shift
    • Replenish coffee bar and continuously restock coffee, silverware, napkins, and any other perishable items

  • Front Desk Concierge

    At Under Canvas we refer to our Front Desk Clerks as camp concierges, CampCon for short. Although you will be working at the front desk, your job is about so much more than just checking guests in and out of the camp.  CampCons are the face of Under Canvas, the first on-site interaction a guest may have is at the front desk of the camp. The staff in this position need to be brand ambassadors, tour guides, helpful information, and overall problem solvers.

    You will be successful as an Under Canvas CampCon if you are friendly, kind, helpful, love working outdoors, str genuinely concerned about making people happy and comfortable, and interested in participating in the local activities so that you can recommend them to guests.

    CampCon responsibilities shall include, but are not limited to:

    • Always keep the Front Desk Area presentable and engaging.
    • Guest Services – In a timely and friendly manner, respond to guest questions about their stay, the tent they are staying in, and any needs that come up during their stay.
    • Guest Arrival – Greet guests, efficiently complete check-in procedures, inform guests of policies, camp layout, food options, camp activities, and amenities. Deliver guests and luggage to their tent and explain all aspects of their stay. Give A+ customer service by anticipating any future needs based on their situation and circumstances.
    • Concierge – Become knowledgeable about the area and all available local activities.  Some of these activities might include hiking, fishing, movies, shopping, etc....  Learn about resources you can use to answer guest questions and that the guest would be able to use as well.
    • Team Player – Communicate with co-workers and other departments to create a great environment for the guests.

    Knowledge, skills, and Abilities Required:

    • Ability to handle multiple tasks simultaneously while projecting a positive attitude and engaging manner

  • Housekeeping Supervisor

    General description of purpose: 

    Overall management of housekeeping and laundry staff to provide guests with a consistently clean and wholesome environment while they stay with Under Canvas. Attend to any additional guest needs as required  to ensure a relaxing and comfortable experience.  

     

    Employee's responsibilities shall include, but are not limited to: 

    • Departmental Objectives – Set priorities and key objectives for the housekeepers and laundry attendants.  Ensure successful implementation and take corrective action when needed.  Regularly inspect all areas under housekeeping care. 

    • Staff Relations – Develop a high level of trust and mutual respect with housekeepers and laundry attendants to reduce turnover and build engagement.  Communicate effectively and constantly while building staff skill sets, knowledge, and abilities.  Be visible and available to all housekeepers while maintaining an open-door policy.  Counsel with housekeepers as needed to reduce internal conflict and promote well-being. 

    • Staff Evaluation – Conduct weekly one-on-one appraisals for housekeepers and laundry attendants, correcting and disciplining when needed.  Institute a department policy of openness and positive reinforcement to foster an A+ workforce. 

    • Leadership – Ensure all company policies are known and followed.  Train and reinforce each staff member on all needed processes. Present an accurate and effective image of successful leadership.  Delegate appropriately. 

    A few examples of housekeeping responsibilities:

    To maintain and repair all inside and outside of tents and buildings.  Take care of all furnishings that need repair or replacement.  Keep the overall appearance of Under Canvas pleasing to the eye.

    Employee's responsibilities shall include, but are not limited to:

    • Guest Services – Respond in a timely manner as guest report items, or any repairs needed to the tents.  Follow all entering and leaving procedures during a guest stay.  Be respectful of the guest's personal property and privacy.
    • Teamwork – Communicate with all departments about current projects that affect guests and employees.  Keep the front desk updated on continual repairs happening to a guest's tent, so the front desk is able to follow up with the guest.
    • Equipment – Must be able to maintain and repair tents, plumbing systems, propane gas water heater, propane heaters, stove pipes, decks, trailers, vehicles, generators, solar power equipment.  Report any items or issues that may need the Maintenance supervisor's attention.  Keep track and take care of all tools necessary to complete all daily tasks.
    • Safety – Assist in overseeing emergency procedures before and after storms, sometimes working all hours to restore services/accommodations for guests.  Respond to guest, staff, and camp emergencies.  Follow all health and safety codes set in place by Under Canvas and local/federal governing agencies.
    • Grounds – Keep all outside areas in great condition.  Water all necessary plants and trees.  Keep all wood stocked for guests.  Make sure all walking and driving paths are clear from debris and anything that would cause injury to oneself or vehicle.  Maintain the overall outdoor appearance of Under Canvas.

     

    Knowledge, Skills, and Abilities Required:

    • Ability to walk, stand, bend/kneel continuously throughout your shift

  • Overnight Supervisor

    General description of purpose:  

    The Overnight Supervisor must be able to work by themselves and stay productive.  You will be taking care of any guests that have not arrived by the appropriate time and any guests that are checking out early.  Make sure all reports that are needed have been printed, all guest folios are correct, and the computer system is changed for the next day.  This includes, but is not limited to: security, cleaning, stocking items around camp, running reports, making accounting adjustments to folios, ensuring accurate accounting, processing credit cards, customer service, walking camp grounds at night, and communicating issues/concerns with management. 

    Overnight Supervisor responsibilities shall include, but are not limited to:

    • Communication about experiential activities will be robust to guests and staff so that a coordinated effort is achieved throughout camp to inform guests of available activities.
    • Represent Under Canvas in a very forward-facing role, interacting with guest regularly, with a big energetic smile!

    Activities:

    • Review incoming guests for check-in that day
    • Morning “walk arounds” to interact with guests to ensure their day is off to a good start
    • Confirm all daily on-site activities that make up the camp’s “experiential calendar”
    • Evening “walk arounds” to interact with guests to ensure their day is ending in a near-perfect way
    • Occasional town runs to assist guests in purchasing items they may need (within reason) to enhance their stay
    • Creating a vibrant and welcoming atmosphere around camp
    • Work with third party vendors to ensure a weekly experience calendar is in place, including but not limited to, wellness, yoga, outdoor education, music, and art.

Oversee the quality process to ensure guest satisfaction by consistent delivery of both product quality and service to achieve the financial objective.

    Employee’s responsibilities shall include, but are not limited to: 

    • Operating Budget- assure achievement of annual budget in revenues, costs, and profits through accounting diligence and expenditure controls. Employ efficient accounting practices.
    • Departmental Objectives- set written priorities and key objectives for each department. Ensure successful implementation and take corrective action when needed. Regularly inspect all areas of camp and assure that all SOPs are followed.
    • Forecasting- monthly forecasting of operating staff and cost expenditures. Plan in accordance with forecasted sales and projected budgets.
    • Staff Relations- develop a high level of trust and mutual respect with camp staff in order to reduce turnover and build employee engagement. Communicate effectively and constantly while building staff skill sets, knowledge, and abilities. Be visible and available to all staff while maintaining an open-door policy. Work directly with sales department to implement successful events. Maintain credit policies, monitor negative sales trends and take steps to prevent financial loss.
    • Leadership- In conjunction with General Manager, assure that all company policies are known and followed. Present an accurate and effective image of successful leadership. Confidently guide and direct camp activities.

    Knowledge, Skills, and Abilities Required: 

    • Knowledge of hotel accounting principles
    • Knowledge of food and beverage operations and/or restaurant experience
    • Experience with hotel housekeeping, maintenance, concierge services, and sales
    • Extensive experience in customer service
    • Supervisory or management experience in a hospitality environment
    • Ability to effectively delegate responsibilities
