Guest Services Assistant Supervisor (GSAS)

The Guest Services Assistant Supervisor (GSAS) assists the Guest Services Supervisor (GSS) in supervising the Kitchen, Dining, Laundry, Housekeeping, and Guest Services support staff at the B Bar Ranch in Tom Miner Basin, and in collaboration with the Guest Relations and Business Manager. The ranch specializes in values-aligned retreats and workshops while also offering a limited number of special events such as reunions and weddings.

In the absence of the GSS, the GSAS serves as the daily operational leader for Guest Services execution, ensuring that all guest-facing operations are carried out in alignment with ranch standards and the direction set by the Guest Services Supervisor.

Standards

The GSAS works within the spirit and specifics of the ranch mission, vision, values and principles at all times. S/he is expected to embody, exhibit and encourage the values of quality of life, community, stewardship, learning, sense of place, mutual respect and shared vision.

The GSAS must consistently uphold and execute the standards set for Kitchen, Housekeeping, Laundry, and Dining operations as directed by the Guest Services Supervisor.

Duties & Responsibilities

1. Operational Guidance & Daily Execution
In the absence of the GSS, the GSAS is responsible for guiding day-to-day Guest Services operations across housekeeping, laundry, dining support, and kitchen support functions.

  • Assigning daily tasks to seasonal staff based on direction from the GSS

  • Coordinating and monitoring completion of all daily operational work

  • Ensuring timely cabin turnovers and guest space readiness

  • Adjusting task flow in real time based on operational needs

  • Maintaining smooth workflow across all Guest Services areas during active operations

2. Guest Services Oversight & Standards Execution
The GSAS assists the GSS in ensuring that all guest-facing areas are consistently maintained to ranch standards.

  • Conducting daily walkthroughs of guest cabins, lodge areas, and common spaces

  • Ensuring cleanliness, order, and readiness standards are met at all times

  • Identifying issues related to guest experience, cleanliness, or safety

  • Ensuring needed actions are taken promptly within the scope of daily operations

  • Supporting consistent execution of hospitality standards as defined by the GSS

3. Communication & Issue Escalation
In the absence of the GSS, the GSAS acts as the primary communication link between seasonal staff and the Guest Services Supervisor during daily operations.

  • Communicating daily operational updates and staffing needs to the GSS

  • Reporting guest service issues, supply shortages, and workflow disruptions

  • Escalating maintenance, safety, or operational concerns as needed

  • Ensuring continuity of communication between shifts and work areas

  • Supporting the GSS in maintaining awareness of on-the-ground conditions

Hands-On Operational Participation: The Guest Services Assistant Supervisor is expected to actively work alongside the GSS and Guest Services seasonal staff in the daily execution of guest operations. This role is fundamentally hands-on and requires consistent participation in frontline duties to support service standards and operational flow. Responsibilities include, but are not limited to, housekeeping, laundry support, dishwashing, kitchen support, meal service assistance, guest-facing dining service, setup and breakdown of guest spaces, and general cleaning and preparation of common areas. The GSAS is expected to model work standards through direct participation, reinforce training through example, and ensure continuity of service by stepping into any guest services function as needed under the direction of the Guest Services Supervisor.

Guest Facing Interactions: The Guest Services Assistant Supervisor is expected to serve as a professional, welcoming, and knowledgeable presence for guests throughout their stay. This role requires consistent guest interaction while supporting the delivery of exceptional hospitality and ensuring every guest experience reflects the standards and values of the B Bar Ranch. Responsibilities include, but are not limited to, greeting and assisting guests, handling luggage, providing directions, responding to special requests, offering concierge-style assistance, and helping guests navigate ranch facilities, activities, and amenities. The GSAS is expected to provide only information they know to be accurate. If uncertain of an answer, policy, schedule, or guest request, the GSAS should consult with the Guest Services Supervisor before responding to ensure guests and staff receive accurate, consistent information. 

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The GSAS must be self-starting and self-guiding in work habits, capable of exercising discretion and maintaining confidentiality. S/he must demonstrate a high level of organization and attention to detail and possess the ability to prioritize tasks in order to ensure completeness, accuracy and timeliness to meet deadlines. Strong interpersonal and time management skills are a must. Communication skills must be clear both in writing and speaking. Driving passenger cars and trucks on highways as well as backroads may be required.

Specific skills include ability to operate all office equipment such as copier/printers, scanners, ranch cell phone, and Macintosh or other computers, make proficient use of appropriate software applications including Microsoft Office’s Word word-processing, Excel spreadsheet/data management, PowerPoint presentation software, Romeo Bravo reservation software, Trello, Google Drive documents and sheets, Square, and MacMail email management program and manage Zoom meetings. 

Work Environment and Physical Demands

The GSAS position is required to engage in a range of activities including but not limited to sit, stand, stoop, walk and reach with hands and arms, load, unload groceries, interact with the public, partners and providers. Must be capable of safely lifting up to 50 pounds and occasionally lift and/or move up to and more than 100 pounds.

The Guest Services Assistant Supervisor (GSAS) is hired by the B Bar Management Limited Company (B Bar MLC). S/he reports directly to the Guest Services Supervisor (GSS). This is a seasonal, full-time, non-exempt position. As such, this position is eligible for overtime compensation and tips. Normally, the GSAS should expect to work up to 40 hours per week, but hours will fluctuate with the season and operational needs.
