Kenai Backcountry Adventures is seeking an experienced, dependable, and highly organized Adventure Reservations Coordinator to join our Seward operations team.

This position serves as the central connection between our guests, guides, managers, and tourism partners. You will help guests choose and book unforgettable Alaska experiences, manage reservations from the initial inquiry through trip departure, and help keep daily operations organized and moving forward.

We are especially interested in candidates with previous experience in the tourism, lodging, hospitality, or outdoor recreation industries. Experience using FareHarbor or a similar tour reservation platform is strongly preferred.

This is not a passive front-desk position. It is a fast-paced and important role for someone who communicates confidently, catches small details, solves problems, and takes ownership of the guest experience.

About Kenai Backcountry Adventures

Kenai Backcountry Adventures, or KBA, is an Alaska wilderness guiding and adventure-tour company based in Seward, Alaska.

We offer glacier hiking, rafting, hiking, bear viewing, helicopter-supported adventures, and multi-day wilderness expeditions throughout some of Alaska’s most spectacular landscapes.

Our office team is the operational hub behind every trip. From the first guest phone call to the final pre-trip confirmation, the reservations team helps ensure our guests are informed, prepared, and excited for their experience.

Position Overview

The Adventure Reservations Coordinator is responsible for managing guest inquiries, converting inquiries into bookings, maintaining accurate reservation records, communicating important trip information, and supporting the daily coordination of KBA’s adventure operations.

You will regularly communicate with guests by phone, email, text, and online chat. You will also coordinate with guides, managers, transportation providers, lodging partners, and other tourism businesses.

The right person will be comfortable balancing customer service, sales, administrative work, and real-time operational problem-solving.

Key Responsibilities

Reservations and Guest Sales

  • Respond promptly and professionally to guest inquiries by phone, email, text, and online chat

  • Help guests select the best tour based on their interests, abilities, schedule, group size, and travel plans

  • Convert qualified inquiries into confirmed reservations

  • Enter and manage bookings accurately within FareHarbor and other company systems

  • Process payments, deposits, refunds, cancellations, and reservation changes

  • Explain trip requirements, cancellation policies, meeting locations, and preparation information

  • Recommend upgrades, additional tours, and alternative experiences when appropriate

Guest Communication

  • Send booking confirmations, waivers, packing information, and pre-trip instructions

  • Follow up with guests when required information or payment is missing

  • Communicate schedule changes, weather concerns, transportation details, and operational updates

  • Provide friendly and knowledgeable service when guests have questions or concerns

  • Help resolve guest issues calmly and professionally

Daily Operations Support

  • Review upcoming reservations and identify missing information, scheduling conflicts, or special requirements

  • Help prepare daily manifests, guest lists, and operational notes

  • Coordinate reservation details with guides and management

  • Communicate with lodging, transportation, aviation, and tourism partners

  • Assist with guest check-in and trip departure preparation

  • Help document booking updates and important guest information

  • Support transportation, equipment, and field logistics when needed

Administrative Support

  • Maintain accurate guest, payment, and reservation records

  • Assist with reports, spreadsheets, calendars, and internal communication systems

  • Help keep office procedures and reservation workflows organized

  • Support basic office tasks and special projects as assigned

  • Maintain guest confidentiality and follow company payment-security procedures

What We Are Looking For

Preferred Experience

  • Previous experience with a tour operator, activity provider, hotel, lodge, travel company, or outdoor recreation business

  • Experience using FareHarbor

  • Experience managing reservations, guest communications, scheduling, or tourism logistics

  • Experience in customer service, inside sales, hospitality, or office administration

FareHarbor experience is strongly preferred, but candidates with substantial experience using another reservation-management platform may also be considered.

  • Confidence speaking with guests by phone

  • Calm and professional during schedule changes or operational disruptions

  • Willingness to take initiative and solve problems

  • Ability to work effectively both independently and as part of a team

Schedule

This is a full-time, Seward-based position.

The tourism season is fast-paced, and the position may require weekends, holidays, and occasional schedule flexibility based on operational needs.

Applicants must be comfortable working during Alaska’s peak summer tourism season.

Year-round employment may be available for the right candidate based on company needs, performance, and experience.

Compensation

Starting wage: $25 per hour

Compensation may be reviewed based on performance, expanded responsibilities, and long-term advancement within the company.
