About Vista Verde Ranch

Vista Verde Ranch is an all-inclusive guest ranch where authentic relationships and exceptional hospitality shape everything we do. We are seeking a detail-oriented, technically capable Sales & Marketing Operations Coordinator who enjoys working with systems, translating data into useful insights, and contributing to ranch life.

The Role

Based in the front office, this position connects marketing efforts, sales operations, and guest service. The primary focus is managing digital platforms and preparing reports that guide marketing and sales strategy, with additional responsibilities supporting reservations and guest inquiries.

Key Responsibilities

• Systems & Data: Maintain HubSpot, CRM, POS, and related platforms, keeping contact records, inquiries, and sales activity accurate and organized. Use spreadsheets, automation, and basic coding, where applicable, to improve processes.

• Reporting & Analysis: Prepare recurring reports on marketing initiatives, guest inquiries, bookings, and sales performance. Work with the Director of Sales & Hospitality and Front Office team to improve tracking and identify useful insights.

• Platform Support: Troubleshoot routine software issues, assist team members with digital tools, and coordinate more complex needs with vendors or technical support.

• Reservations & Guest Service: Respond warmly and accurately to phone and email inquiries. Assist with reservation entry, updates, follow-up, guest communications, and front-office coverage.

What We’re Looking For

• Strong computer and spreadsheet skills, including formulas, data organization, and reporting.

• Experience with HubSpot or a comparable CRM, as well as integration software such as Zapier.

• Ability to interpret data and communicate clear, practical takeaways.

• Excellent organization, attention to detail, and follow-through.

Helpful Preferred Skills

• HubSpot workflows, dashboards, and platform administration.

• Marketing analytics, campaign tracking, and sales-pipeline reporting.

• Reservation or hospitality systems, such as Easy InnKeeping.

• Basic HTML/CSS, scripting, integrations, and IT troubleshooting.

• Familiarity with Zapier, WordPress, and AI tools.
