AMB West is a holding company comprised of owner and chairman Arthur M. Blank’s four ranches in Paradise Valley, Montana including Mountain Sky Guest Ranch, West Creek Ranch, Paradise Valley Ranch and the newest property, Auster at Dome Mountain. AMB West also focuses on agriculture, conservation, and facilities and programming for ranch guests and the community.

There are plenty of opportunities for adventure in the heart of Yellowstone Country. The Gallatin National Forest, Yellowstone National Park, the Absaroka-Beartooth Mountains, the Crazy Mountains, the Bridger Mountains, and the Gallatin Canyon area all provide excellent opportunities for hiking, horseback riding, mountain biking, rock climbing, and camping. Big Creek and the mighty Yellowstone River offer fishing, rafting, and kayaking opportunities. Livingston is a 45-minute drive and offers a quaint downtown with great restaurants and a vibrant artistic community. Bozeman is an hour drive and is home to Montana State University and the Museum of the Rockies, as well as a great variety of coffee shops, stores, restaurants, and bars. Local haunts like the Pine Creek Lodge, The Old Saloon in Emigrant, and Chico Hot Springs are always staff favorites, and feature live music and great food without the long drive.

    Accounts Payable Specialist

    $50,000.00 - $60,000.00 / year

    This is a year-round, salaried position. If you are not already local to the area, relocation is required before starting.


    This is a full-time position which reports to the AMB West Director of Finance. This position will allocate 70% of its time to Accounts Payable and 30% to accounting. This role is responsible for accounts payable, traditional accounting assignments such as bank and balance sheet reconciliations, fixed assets, property taxes, and journal entries for multiple entities. In addition, this position will assist with financial reporting including the preparation of monthly financial statements, annual budgets, audit workpapers, and tax workpapers.

    Role and Responsibilities:
    Accounts Payable:
    • Process vendor payments for 8 entities and process check payments.
    • Maintain AP files, W9 files, and ACH files.
    • Review the invoice entry process to ensure proper coding, remittance information, departmental approval, and due date.
    • Compile and review credit card transactions in preparation for file upload.
    • Research and identify corrective actions for problem invoices, including process changes, if necessary.
    • Build strong cross functional partnerships to resolve processing issues with all internal departments.
    • Partner in the development, implementation, and maintenance of systems, procedures, and policies to ensure adherence to company guidelines and streamline workflow.
    • Prepare all reconciliations associated with AP and serve as primary contact for payable requests.
    • Deposit checks and cash weekly for multiple entities.
    • Track outstanding checks over 90 days, void and re-issue as needed.
    • Process annual 1099’s for multiple companies.
    • Respond to employee and vendor inquiries regarding unpaid/paid invoices.

    Accounting:
    • General Ledger - Coordination, preparation, documentation of daily transactions.
    • Assist with monthly closing entries; intercompany processing and balancing.
    • Bank account reconciliations.
    • Track and reconcile capital expenditures.
    • Assist with preparation of monthly financial reports and annual budgets.
    • Collaborate on other projects or duties as needed.
    • Ad-hoc internal reporting and analysis.

    Qualifications and Education Requirements:
    • 1-2 years progressive experience in accounting.
    • Proficiency in Excel and Microsoft Office Suite.
    • Windows-based accounting system knowledge and demonstrated aptitude for GL systems and interfaces.
    • Strong analytical skills.
    • Thrives in a small team environment with moderate supervision.
    • Self-starter with a high level of attention to detail.
    • High regard for confidentiality.
    • Positive attitude and excellent oral and communication skills.
    • Excellent time management and organizational skills.
    • Flexibility to work extended hours.

    Position Summary

    This position reports to the General Manager, AMB West providing executive level administrative support. He or she is responsible for managing the General Manager’s office and daily flow while also contributing to the overall efficiency of the overall AMB West office. This includes managing schedules in accordance with demands and priorities and working with minimal direction. This person is required to develop an understanding of the entire organization to be an effective entry point and problem solver. This position will also offer general administrative support to other AMBW leaders as needed.

    Job Description

    · Proactively manage General Manager’s calendar including scheduling appointments with internal and external parties and managing travel schedules and itineraries.

    · Ensure General Manager is prepared for all meetings by ensuring he is equipped with appropriate materials and briefing information.

    · Handle and manage coordination of meeting agendas, actions records and notes. This includes collecting agenda items and pre-reads, following up on action items, organizing catering and meeting logistics and communicating with Blank Family of Businesses team in Atlanta.

    · Draft and design general correspondence and memos in the voice of the General Manager with the highest level of discretion and care.

    · Assist with the creation, distribution and managing of contracts and agreements within AMB West. Handle liability waivers across the properties.

    · Collect and compile information/presentations and put in professional form for various meetings.

    · Maintain master calendar for AMB West.

    · Liaison for General Manager’s external business and community partners.

    · Answer and screen external phone calls. Handle inquiries or requests as appropriate.

    · Manage General Manager’s email inbox, filtering, delegating, and handling as appropriate.

    · Create and maintain efficient departmental filing system. Manage digital assets.

    · Assist with various executive projects as assigned.

    · Handle confidential and non-routine information.

    · Bachelor’s degree preferred

    · Two to five years of administrative experience

    · Exceptional hospitality mindset with desire to positively impact the lives of AMB West guests and associates.

    · Excellent interpersonal skills and ability to communicate with all levels of associates and customers. Must have an ability to develop strong working relationships.

    · Strong professional and courteous disposition that represents the office of the General Manager in a professional and cordial manner.
