Location: Estes Park Center, Optional Work From Home
Position Summary: This position supports the work of the YMCA of the Rockies, which operates a two mission-based family and group conference and retreat centers and a summer resident camp serving more than 250,000 guests and campers annually. The International Programs Assistant is primarily responsible for providing information, assistance and knowledge to ensure all International Programs support services are delivered in a timely, efficient, professional and ethical manner.
Essential Functions:
- Work with the International Programs Director and International Coordinator as needed
- Work with department managers to schedule interviews and provide any other assistance necessary to the hiring function.
- Screen all incoming phone calls. Help callers with queries
- Screen and assist people coming into the International Programs Office
- Answer all emails in the International Office mailbox
- Maintain applicant e-files updated
- Use PAYCOM for all information related to the hiring process
- Coordinate Social Security and bank trips for all international staff
- Keep all spreadsheets updated
- Lead field trips when necessary
- Prepare and administer orientations for all new employees and international staff programs.
- Assist with cultural events
- Send regular reminders of classes and cultural events to international staff and managers
- Coordinate Host Families for the International Interns/Trainees
- Send reminders for Interns/Trainees to meet monthly with the International Director
- Provide any needed assistance to the Human Resources staff, department managers, employees, and guests to ensure a smooth operation
Requirements/ Qualifications:
- Must have a high school diploma or equivalent and 2-3 years of office experience including computer training
- Must be able to work for long periods of time on a computer
- Must have accurate and proficient typing and computer data entry skills
- Must possess good customer service skills; must be friendly, personable, helpful, patient, and professional
- Must be able to work well with frequent interruptions in a busy office environment
- Must be a quick learner and be able to handle multiple tasks
- Must be highly organized and complete tasks in a timely and efficient manner
- Must be detail-oriented and accurate in all work
- Must work independently, is responsible and self-motivated
- Must have an unwavering ability to maintain strict confidentiality concerning International Programs Department matters
- Must communicate clearly visually and orally and be fluent in speaking, writing, and reading English
- Must possess and maintain a valid driver's license and comply with YMCA driving records rules
- Must be able to pass a criminal background check
- Must lift and carry up to 25 pounds
- Use computer, fax machine, copy machine, telephone
- Must know how to file accurately
