POSITION SUMMARY:
This position supports the work of YMCA Camp H.R. Erdman, committed to strengthening the community by providing positive life-changing experiences for individuals, groups, and families. This position is responsible for, following up with reservations, collecting and filing paperwork, collecting and processing payments and assisting other departments in providing guests and campers with an excellent experience before and during their stay at Camp Erdman. This position's mission is to serve as a team player to all departments by providing clerical and administrative support.

ESSENTIAL FUNCTIONS:

Welcome Center

  • Welcome and assist walk-in visitors and on-site guests that enter the front office throughout the day.
  • Facilitate camp tours for walk-ins and provide information about Camp Erdman’s Programs, Mission, & Facilities.
  • Daily correspondence with camp inquiries by answering incoming phone calls, following up on voicemails, and replying to emails in a professional and timely manner.


Program Director Support

  • Support Program Directors in communications with groups and report all potential bookings.
  • Email 60-day, 30-day, and 1-week reminders to incoming schools and groups to collect required documents and payment.
  • Follow booking procedures by documenting all booking interests and providing quotes, availability, & programming options per request.
  • Assist with registrar duties, e.g. managing activity availability and capacity, managing activity waitlist, drafting contracts, processing payments, following the procedure for processing accounts receivable, & collecting and filing group forms and waivers
  • Assist with all aspects of administrative management, e.g. data entry, receptionist duties, receiving mail/packages, key distribution for check in/check out.
  • Responsible for learning and applying all aspects of the registration and booking process and following their procedures and policies.
  • Checks online registrations daily and completes follow-up
  • Perform other duties as assigned

Camp Store

  • Sell Camp Erdman merchandise by operating POS system
  • Assist Office Manager in monthly inventory reports
  • Print Daily Cash Reports    

Marketing

  • Coordinate with Program Directors to receive specific program content (e.g. pictures & videos of activities)
  • Execute Social Media Plan by making social media posts in time with the Camp Marketing Calendar
  • Create marketing materials such as flyers & pamphlets for YMCA Activities & Programs per request

   QUALIFICATIONS:

  1. Previous experience working with groups (hospitality industry and/or camping)

  2. Previous experience in customer service (answering phones, greeting customers, handling customer concerns)

  3. Computer experience (MS Word, Excel, Publisher, PowerPoint -  Google Docs, Sheets, Forms, Slides)

  4. At least 18 years of age 

  5. CPR, First Aid, AED certifications within 30 days of hire date

  6. Current TB Test

  7. Ability to relate effectively to diverse groups of people from all social and economic segments of
    the community

WORK ENVIRONMENT AND DEMANDS:

  1. General office conditions and environment

  2. Frequent work outdoors (camp tours, guest service call, guest activity, etc.)

  3. Frequent use of phone, computer, copier, and other office machines

  4. 40-hour work week with rotating/assigned days off

  5. Occasional extended hours are required (special events, assignments, etc.)

BENEFITS:

  1. PAA shall be a full-time, non-exempt employee.

  2. On-site, seasonal housing is provided at no cost to employees. Housing includes gas, electric, water, and sewer utilities at no cost. Housing assignment is made at the discretion of the Program Director, and per a separate, written agreement.
