The Annual Fund Manager will manage daily administration of Annual Fund programs at Yellowstone Forever, including membership programs in YF park stores and direct mail & digital channels.  This position will manage and complete the administration of all gift processing and reconciliation in the donor database and other philanthropy administrative tasks as needed.  This position will also manage Annual Fund stewardship projects and tasks as well as seasonal in-person training of Park Store associates/managers as well as other Yellowstone Forever staff/partners on all aspects of Yellowstone Forever membership program.

Pay Range: $50,000 - $60,000 based on experience.

Summary Description:

Yellowstone Forever (YF) is the official nonprofit partner of Yellowstone National Park. Our mission is to protect, preserve, and enhance Yellowstone National Park through education and philanthropy. YF connects people to Yellowstone through outstanding visitor experiences and educational programs and translates those experiences into lifelong support of the park and philanthropic investment in its future. Our educational programming and products help people enhance their understanding and appreciation of the wildlife, natural wonders, and cultural history of the park. YF’s operations include Park Stores in and around Yellowstone; the Yellowstone Forever Institute, which offers in-depth educational programing for people of all ages; and a supporter program which raises funds for priority park projects.

The Annual Fund Manager will manage daily administration of Annual Fund programs at Yellowstone Forever, including membership programs in YF park stores and direct mail & digital channels.  This position will manage and complete the administration of all gift processing and reconciliation in the donor database and other philanthropy administrative tasks as needed.  This position will also manage Annual Fund stewardship projects and tasks as well as seasonal in-person training of Park Store associates/managers as well as other Yellowstone Forever staff/partners on all aspects of Yellowstone Forever membership program.

Primary Responsibilities:
Specific duties in the following categories include, but are not limited to:

Membership Program Management

In coordination with the Director of Annual Fund and other departments, manage the overall administration of the YF membership program across direct mail & digital channels as well as in YF park stores

  • Provide seasonal in-person training to all Yellowstone Forever park store retail staff as well as Xanterra park store staff on all aspects of the membership program including donor information collection and member benefits
  • Manage and complete the secure transfer of accurate membership data from YF park stores and Xanterra park stores into the donor database
  • Provide accurate and timely reporting on the membership program
  • In coordination with the marketing team, create, maintain, and update membership program materials such as in-store signage, membership benefit fliers, membership cards and other documents as needed
  • In coordination with the Data Management and Customer Care Associate, ensure donor membership inquiries and feedback are responded to and tracked in a timely manner
  • Actively participate in weekly calls with direct response consulting agencies as needed

Philanthropy Administration
In coordination with other departments, complete essential philanthropy administrative tasks on a scheduled basis.

  • In coordination with the finance department, complete daily gift reports and monthly philanthropy gift reconciliation and complete any corrections that are needed in the donor database
  • Manage and complete the process for sending philanthropy related mail received in-house to the outsourced data entry vendor for processing
  • Manage and complete manual data entry and uploads of gift files received from data entry vendor as well as non-vendor processed gift files into the donor database
  • Manage and complete general data clean-up projects in the donor database
  • Maintain, create, and keep current philanthropy operating procedure documentation for gift processing and other annual fund and membership related tasks
  • Provide in-person event support as needed

Donor Stewardship
Manage Annual Fund donor stewardship and administrative tasks that are a part of a comprehensive development program.

  • In coordination with the Director of Annual Fund and the Director of Donor Relations & Stewardship, create and maintain existing philanthropy operating procedure documentation
  • for stewardship tasks such as annual tax receipts for monthly donors, acknowledgement letters for all individual gifts received under $1,000, etc.
  • Provide training to philanthropy or other necessary staff on standard operating procedures for donor stewardship listed above as well as for answering philanthropy phone calls, or answering supporter inbox emails
  • Create, maintain, and update donor stewardship materials as assigned to ensure up to date messaging and best practices are followed
  • Mail stewardship items such as membership cards or premiums to donors as requested and assigned
  • Serve as primary contact with external print and mail house vendors for Annual Fund stewardship projects as assigned
  • Other tasks as assigned

Basic Qualifications: 

  • Bachelor’s degree in marketing, nonprofit or business administration or related field
  • Minimum of two years’ work experience in a nonprofit office environment or equivalent
  • Dedication to conservation and preservation of Yellowstone National Park
  • Excellent computer skills
  • Experience with Salesforce, Raiser’s Edge or a similar CRM for donor relationship and data management
  • Willingness to learn new skills
  • Experience in Microsoft Excel, Word, and Outlook
  • Ability to follow guidelines and policies for handling Personal Identifiable Information (PII)
  • Pleasant phone manner and good interpersonal skills
  • Excellent organizational skills with a keen sense of attention to accuracy, detail, record keeping, and timeliness
  • Proven ability to juggle multiple tasks and meet deadlines
  • Ability to work independently and produce accurate work
  • Ability to cooperate effectively with YF staff, YNP staff, and vendors
  • Work effectively as a team player
  • Ability to make trips to Yellowstone in all weather conditions

Preferred Qualifications: 

  • Experience with a large membership or direct mail programs
  • Experience with basic computer programming
  • Experience in customer service/donor relations
  • Experience with online donation processing software such as Classy or Luminate
  • Desire to grow in the profession and attend professional development trainings and workshops

Compensation:

This is a full time, exempt position, which will be based in Bozeman, MT. Travel between the YF offices and throughout the park may be required. Salary is based upon experience pay range $50,000 - $60,000.  Benefits of this position include knowing that your efforts directly benefit Yellowstone National Park and having the opportunity to work in one of the world’s premiere wilderness areas.
