The purpose of the Winter YC Shuttle Travel Concierge is to assist with the winter operations of the Travel program at Yellowstone Club. The main focus of this individual will be geared towards the YC Shuttle program, as well as oversee the back office of the YC Travel Department. They must facilitate impeccable member and guest services, when needed. 

Job Responsibilities Maintain tasksin accordance with the Club’s policies, procedures and applicable laws;responsibilities include but are not limited to: book YC Shuttle flights, create email templates for YC Shuttle, assist with YC Shuttle passenger details (manifests, seating charts, allergies, pet info) process coding for internal charges; organize back office operations; bill all YC Travel related services; update spreadsheets; manage inventory of Travel program;manage Travel calendar.

Major Responsibilities 

  • Ensure that each member and guest receive outstanding guest service in a guest friendly environment which includes greeting and acknowledging every member and guest, maintaining outstanding service standards, solid product knowledge and all other components of guest service. 
  • Communicate via phone and email to arrange bookings for the Winter 2022-2023 YC Shuttle program. This will include seat reservations, confirmation emails, detail requests, inventory management, and more.
  • Organize the Back Office. Back Office responsibilities will include coding invoices, sending packages, billing Memberflights, ordering office supplies, updating paperwork, etc. 
  • Cross-check calendar to ensure arranged flights are noted in the YC Travel calendar. 
  • Create reports, as requested, for YC Travel to assist with departmental decisions. 
  • Maintain high levelof accuracy across all forms of communication, to ensure records are thorough and reliable. 
  • Empowered to guarantee total guest satisfaction when answering any Member requests/billing questions. 
  • Update various systems used to ensure all passenger and YC Shuttle flight records are up to date with accurate details. 

Other Duties and Responsibilities 

  • Utilize information technology to record sales figures, for data analysis and forward planning. 
  • Count inventory of Travel items and order/update as needed. 
  • Provide accurate and timely information regarding YC Shuttle flights 
  • Ensure standards for quality, customer service and Yellowstone Club culture expectations are met. 
  • Interface with other departments tomeet member, guest, and prospective member requests. Page 2 of 3 
  • Assist in shipping/receiving/delivery of mail and express items, and messages. 
  • Keep detailed records of YC Shuttle member preferences and requests. 
  • Practice creative problem solving. • Maintain a positive and respectful attitude. 
  • Treat members, guests, vendors, customers and co-workers with professionalism and respect at all times. 
  • Maintain privacy of our members at all time. 
  • Communicate regularly and effectively with all employees, supervisors, managers and directors. 
  • Perform work in a safe and high-qualitymanner. 
  • Project a favorable image of Yellowstone Club to members and guests at all times. 
  • Understand and apply all property safety and security procedures to maintain a secure and safe environment for employees, members, and guests, always. In the event of an accident or emergency, seek medical attention if necessary and contact the General Manager or Human Resources immediately.

Experience/Education Required Associate degree or equivalent course work. 

Certificates & Licenses Valid State Driver’s License. 

Computer Skills Advanced keyboarding skills; Intermediate knowledge of Microsoft Office systems. 

Language Ability Able to speak clearly and effectively with members, guests, co-workers, vendors and other Yellowstone Club departments. Able to write clearly and legibly. 

Math Ability Able to perform basic math calculations. 

Reasoning Ability Ability to solve basic problems and/or know when it is necessary to get a manager to assist in problem solving.
