The Operations Manager reports to the General Manager and assists the General Manager in day-to-day tasks. The OM is the front desk person that meets and greets guests and assists the group coordinators daily. They will also oversee the housekeeping department and all the Guest Service associates.  

Qualifications and Education Requirements               

  • Previous housekeeping experience
  • Previous experience leading a team
  • Ability to multitask in a fast-paced environment
  • Ability to work with guests and staff
  • Ability to problem solve

Preferred Skills

  • Scheduling experience
  • Knowledge of Microsoft office
  • Knowledge of Infor HMS or other property management software

Roles and Responsibilities

Guest Communication and Coordination

  • Manage in-room guest materials
  • Guest Communication
    • On-site contact person
    • Conduct arrival tours
    • Present on Monday night to guests
    • Check in with each group to answer questions and help coordinate special requests
  • Transportation
    • Coordinate with Head Wrangler on training during orientation
    • Coordinate with GM on any changes
    • Assign drivers/vehicles (Head Wrangler to assign departure drivers)
    • Monitor flights on arrival/departure days
    • Coordinate with kitchen on any sack meals/reception snacks
    • Communicate with Head Wrangler on vehicles that need cleaned/refueled
    • Stay in contact with arrival drivers to ensure reception
    • Coordinate town runs with department heads and drivers
  • Off- Site Coordination
    • Whitewater Rafting
      • Rafting day management
        • Check in with rafting company on numbers
        • Gather enough towels and water bottles
        • Help guests load onto bus
    • Yellowstone Van Tours
      • Ensure equipment is in good order (pre-season)
        • Binoculars
        • Spotting scopes
        • Tripods
      • Assist guide with loading equipment and guests
    • Contract Entertainment
      • Review entertainment lineup for season
      • Reach out to solidify dates and rates
      • Create contract for accounting
      • Ensure payment delivered each week
  • Risk Management (potentially the responsibility of Activities Supervisor)
    • Schedule First Aid/CPR training for orientation (coordinate with MSGR)
    • Secure scans of staff safety training cards (FA/CPR, WFA, WFR, EMT)
    • Assist IT with radio inventory, testing, and management
    • Coordinate restocking of first aid boxes
    • Manage first aid kits for hiking and wrangling program
    • Ensure AED units functional w/up-to-date accessories
    • Ensure rescue equipment, jump bag, O2 tanks in good order
    • Ensure all equipment is easy to locate and access when needed
    • Tempus: coordinate with MSGR on training/stocking/updates
    • Lead bear aware training
  • Miscellaneous Activities
    • Monitor firewood stock & coordinate restock with Maintenance
    • Enter on-site activity information into Hospitality software.
    • Track/stock inventory of items such as bug spray, sunscreen, bear spray, etc.
    • Stay educated on all areas of the ranches to communicate to guests, including agriculture, conservation, philanthropy, MSGR, PVR, history, etc.
    • Lead dance night

Guest Services Management

  • Recruiting
    • Assist HR in managing Coolworks, coordinating with Head Chef and Head Wrangler
    • Coordinate other possible sites with GM, Head Chef, and Head Wrangler
    • Hire Guest Services associates
      • Review applications
      • Conduct first-round interviews
      • Join in second-round interviews with GM
      • Send out Welcome Email once hired
      • Send out arrival communications to all associates
  • Staff orientation
    • Plan schedule with GM and other mangers
    • Assist GM with coordinate activities with departments (horseback ride, golf, MSGR tours, etc)
    • Assist HSKP designing/executing training
    • Lead discussions on various rules throughout week
  • Gather and compile Who’s Who materials
  • Weekly scheduling (½ - 1 day per week)
    • Accept time-off/sick requests & communicate to AMB West HR for payroll
  • Conduct monthly check-ins with Guest Services associates
  • Address major disputes/performance issues for Guest Services associates and managers
  • Staff engagement
    • Lead Friday meetings when GM is unavailable
    • Manage table tents in staff dining
    • Distribute extra materials about groups to staff dining
    • Coordinate with Philanthropy Program Assistant about volunteer opportunities
    • Order WCR clothing for associates
    • Update/post Things to Do in Montana
  • Schedule Manager’s Meeting; lead when GM absent
  • Assist in housekeeping and/or dining as needed

Housekeeping Management

  • Direct oversight of Housekeeping Supervisor
    • Train on housekeeping protocols
    • Train on ordering and inventory
    • Assist with development of orientation and reference materials
  • Oversight of Front of House Supervisor in relation to lodge housekeeping
  • Communicate with Maintenance on major projects (e.g. winterizing/de-winterizing, immediate issues)
  • Schedule outside contractors
    • Window washing
    • Pest control – coordinate with head of maintenance
