This position should maximize the guest experience while supporting inter-departmental communications. Agents should be meticulous to ensure that every arrival and departure has been accurately recorded following established company procedures. An expected goal is to deliver excellent customer service while creating a unique experience for the customer which makes them want to return to our company.

Communication Skills: This position requires listening to and working with people by phone (guests and co-workers), as well as in person. Your ability to listen, speak clearly, and communicate effectively is necessary. 

Attitude & Environment: This position can become stressful at times during busy seasons or times of day, and a positive, non-reactive, team-oriented mindset must prevail. Agents might have to deal with confused or irate customers. 

Technological Skills: This position requires the ability to perform a variety of computer-based tasks and should be filled by someone comfortable navigating new software platforms. 

A shortened summary of duties includes, but is not limited to:

  • Prepare each day’s arrival and departure reports and facilitate these processes
  • To deal efficiently and politely with all telephone, email, internet messaging, chat, and ‘in-person’ inquiries
  • Fluency in our online operating systems and coordination of housekeeping, maintenance, and administration positions to clearly communicate unit-ready status to owners and guests
  • Computer-based reporting, tracking, and assigned tasks
  • Assisting with owner reservations, questions, work requests, etc
  • Managing accurate key inventory for guest access and items for access like garage door openers, pool keys, parking permits, etc
  • To attend training sessions, conferences, and team meetings as required and to be involved and contribute to these to develop yourself professionally
  • Understand company policies and procedures to ensure the reservation has all details necessary and payment collected
  • Assist other departments when necessary: this includes (but is not limited to) reservations, inspections, inventory management, data entry, etc



  • May be exposed to an activity that requires standing, bending, crouching, pushing/pulling, lifting/moving/carrying (light to heavyweight), and climbing stairs.
  • Requires manual dexterity (i.e., repetitive hand/wrist, griping, and elbow motion).


  • Must be able to apply common sense understanding to carry out instructions and procedures. 
  • Must be able to deal with moderate levels of stress. Will interact regularly with guests/owners, vendors, employees, and coworkers and therefore, must have excellent interpersonal skills.
  • Organizational skills will assist in making the day-to-day of this position more enjoyable for all employees


  • May be exposed to outdoor environment (i.e., heat, cold, damp, rain, etc).
  • Will be exposed to human contact, only 25% of properties currently have keyless entry.
    • Exposure to the outdoor environment and human contact would be incurred during check-in, check-out, vendor deliveries, going to and from units for inventory or tours, and other day-to-day activities.
  • May have light exposure to cleaning chemicals, machinery, lifting, etc.
    • Assisting in cleaning personal working spaces as well as shared office surfaces such as copiers, printers, remotes, etc

Due to the nature of the property management and vacation rental industries, general flexibility in scheduling is requested; holidays and weekends are required.
